How does DataTako work?

Welcome to the confusing jungle called 'Microsoft licensing'. DataTako simplifies Power BI sharing so you can focus on delivering insights, not managing licences.

How it works

The power of Power BI Embedded

DataTako simplifies sharing Power BI reports by utilising Microsoft’s Power BI Embedded service. Distribute interactive dashboards to anyone — clients, partners, or team members — without each viewer needing a Power BI Pro licence.

Instead of purchasing a Pro licence for every viewer, you only need a Fabric capacity. DataTako helps you manage that capacity efficiently — including smart auto-pause to cut costs by up to 70%.

The following image illustrates how DataTako uses Power BI Embedded.

Technology

What is Power BI Embedded?

Power BI Embedded is a Microsoft Azure service that lets organisations embed reports and dashboards into their own applications or websites. It operates on a capacity-based licensing model — you pay for computing resources rather than individual user licences.

Microsoft allows two methods: App owns data and User owns data. DataTako builds on the ‘App owns data’ approach, embedding your content securely in a customisable, white-labelled portal where you retain full control over what data is shown, to whom, and how it looks.

Deep dive

Embedding methods & security

User owns data

Users sign in with their own Power BI accounts to access embedded reports. Best for internal use where everyone already has a Pro licence.

App owns data

Your application owns the access data and controls access. Viewers don’t need their own Power BI account. This is the approach DataTako uses to deliver a seamless, white-labelled experience.

Enterprise-grade security

DataTako uses Microsoft’s official Power BI SDK and REST APIs. Role-based access, multi-tenant isolation, HTTPS encryption, and no unnecessary data storage — security by default.

Security

Built on Microsoft’s trusted infrastructure

DataTako never bypasses Power BI’s security model — we extend it. We use Microsoft’s official Power BI JavaScript SDK and REST APIs to embed your reports. All tokens are generated securely and scoped to each user’s permissions.

✓ Role-based access control down to the report level

✓ Multi-tenant architecture with logical data isolation

✓ All data transmitted via HTTPS with strong TLS encryption

✓ No unnecessary user data storage — secure by default
